Calendar management is a great technique for managing your time and project. It allows the calendar and available time you have to be used as a backbone for organizing how you spend your time. When used consistently, managing by calendar gives you and your team a tool for sorting out complex work assignments according to priority.
The basic steps of managing time using a calendar are explained below:
1. Make a goal.

Establishing a realistic goal for specific tasks assigned keeps you output-focused in accomplishing the assignment. Construct simple goals that can easily be achieved in relevance to the project description. Goals should also be made according to your capacity to accomplish them.

2. Assign a date or checkpoint on the goal (even if arbitrary).

For each specified goal, plot a target date in which you can arbitrarily achieve the goal. You schedule accomplishment of such goals in a specific date or checkpoint. By this means, you can have a whole calendar picture of the things you need to accomplish.

3. Determine steps or components that lead towards the goal.

Proceed to more detailed and specified things to do that leads towards the achievement of goals. These steps or components are your specific action plans that must be implemented in order to realize your goals.

4. Using a calendar, assign critical steps first.

After identifying those plans of action to implement your goal, make use of a calendar where you can plot only those critical and important steps in achieving your ultimate goal.

5. Assign the remaining steps the proper dates or times.

You may not ignore other steps. You can still assign target dates for those steps if there are still available dates in your calendar. Maximizing the full use of your calendar will lead you to a more productive work.

6. Sort out conflicting or competing demands.

Analyze further conflicting or competing demands in your calendar. Eliminate unnecessary ones, and prioritize only those important demands.

7. Adjust plan so it fits together.

Make the necessary adjustments in your calendar plan. Organize further the schedule of goals on target dates that you think may contribute more to the completion of your task or assignment. Further assessment of your plans while fitting them together in a calendar schedule will enable you to become more organized in your efficient management of your time.

Businessmen who are likely to succeed in life adhere to the principle that time is money. For them, it is gold. Investing much time would profit product quality and employee productivity. It is not surprising though to notice that many companies and institutions provide trainings and seminars in helping their employees to better manage their time. It is a command responsibility of the company manager to assist and supervise his employee in working with quantity and quality time.
Being a concerned employer who desires to learn how to improve productivity in your business, you can consider steps in creating a time management chart to assist you in motivating your employees to perform their tasks efficiently. An e-how contributing writer once configured the following easy steps for employers to follow in making a time management employee chart:
Step 1
Use graphic presentation software to create the time-management chart. Open a new document and add the title, “Time-Management Chart” within the title placeholder.
Step 2
Create five text boxes, positioning one in the upper-left corner of the document. Add text within the box to show that it identifies and explains the problem. For example write, “Problem: What causes employees to waste time at work?”
Step 3
Make at least three smaller text boxes with arrows joining them to the box identifying the problem. Within each box, explain the problem in further detail.
Step 4
Highlight the second main text box. Click within its borders and add text describing one response to the problem. Try “Response No. 1: Develop more time.” Duplicate at least three additional smaller text boxes attached to this one. Within each smaller box, brainstorm ways in which employees can create more time.
Step 5
Repeat creating responses to the problem in the next two major text boxes. Add at least three smaller text boxes attached to each response to identify specific solutions. Examples for the next two major boxes include “Response No. 2: Limit Diversions.” Text within the smaller boxes attached to it might instruct employees to avoid small talk at the coffee machine and keep personal phone calls to a minimum.
Step 6
Finish the chart by naming and defining the last major text box. Devote it to the goal. Explain the overall goal that all these solutions have. It might be for employees to perform self-appraisals of their work performance with reference to efficient time management.
Step 7
Attach to this text box at least three smaller boxes identifying specific personal goals employees can hope to realize by following the time-management chart.

The main reason why we sometimes resist the idea of time management is because we prefer to enjoy freedom more than to work limitless. It may be helpful for us to evaluate that the effort is not about becoming slaves to our schedules, but rather to free us from stress created from the poor management of our time. We can actually control ourselves from becoming burnt-out of so many tasks to accomplish during the day when we will just allow ourselves to focus seriously on the work to be done without also depriving ourselves from non-work activities. The key, therefore to a great way to manage time is the extent to make well-balanced activities that are more rewarding and productive.

Here are some great ways to manage your time in a more skillful manner:

1. Log activities
Keep a record of all the activities to be done in a week.

2. Clear out obligations
Make clear limitations on obligations and responsibilities.

3. Identify deadlines
Set deadlines on work to be accomplished.

4. Forget not those personal and social activities
Include also personal and social activities in the planning of schedules.

5. Organize goals
Set realistic goals according to urgency and importance.

6. Delegate
Empower others by dividing the tasks to be accomplished.

7. Identify priorities
Put deadlines on top of the things to be accomplished.

8. Have focus
Avoid jumping from one task to another. Concentrate only on one goal at a time.

9. Create a good working environment
Have an organized working environment.

10. Say “NO”
Know every limitation in working on the tasks. Avoid unnecessary interruptions from others. It is always advisable to refuse others, rather than pretending to work on what others would request you to do.

11. Utilize capabilities
Make use of your strengths and abilities and work on hours when you are active and fruitful.

12. Compromise
Do not expect too much about getting things done completely. Take breaks and work on tasks on days when you are productive.

These are only few general ways to manage our time. These are concrete and simple ways that are most likely applicable to all kinds of people. Knowing all these tips will somehow help us become successful in every endeavor we have. Giving time to practice the skill in time management will make us a better person with good sense of balancing time in work and in play.

In every personal goal that we desire to achieve, productivity is the most ultimate value that we are concerned of. Having loads of activities that fill our schedules, the desire to improve productivity is somehow far beyond possibility when time management is not taken seriously. Productivity is never possible when we fail to identify the effective use of time management tools that meet our personal need to track and analyze our schedules. Perhaps, most of us have managed to provide ourselves with clock, daily planner, calendar, or tickler that helps us organize our activities in one way or another.

However, these personal tools may not be very effective as far as accurate time tracking is concerned. There are times when we become exhausted with so many tasks that we tend to take breaks by doing other things that a clock or planner cannot monitor, decreasing our likelihood to become productive. Setting aside those personal gadgets, it is suggested to discover the numerous personal time tracking applications available in the net.

Time tracking applications help us avoid unnecessary activities we do. These are helpful tools that keep us more aware of the time we have spent on work or non-work related activities. Further, time tracking tools have been specially developed to help us become more focus on work and avoid procrastination.

Below are among the time tracking tools that are intended for personal use:

1. MeeTimer- a time management tracking tool that monitors our time online, grouping it into activities for more meaningful statistics. It gives us information on where our time is really going in order for us to take steps in reducing wastage.

2. RescueTime- a web-based time management and analytics tool with very accurate and colorful statistics. The best way to know how it works is to freely sign up at http://www.rescuetime.com/

3. TimeTracker- a web application for keeping track of hours spent on a project with the ability to handle multiple resources and projects. It helps us define project name, create task categories, log work completed, track time spent each day, track time spent in each area, and track over-all progress.

4. ManicTime- an advanced windows application usage tracking utility that helps us find a solution which applications we use for how many times and how long. It is a complete personal time manager that controls where and how we spend our time while sitting in front of the computer.

5. Slife- the most recent time manager tool that helps us track the time we spend on each application and set goals for ourselves. Its best feature is to visualize and organize our computer activities by keeping track of all web pages we visit, emails we read, and documents we write.

One of the best guiding strategies that a student can manage to become successful in his studies is by setting an organized plan of scheduling his time. Time management becomes an effective tool to be used when cramming for an exam, submitting delayed projects, or getting failing grades. Moreover, it helps the student develop good study habits and become a well-disciplined person. Like any other techniques on how to achieve a successful academic achievement, managing time wisely is only one of these techniques, but perhaps the most important, that can impose a larger impact on the student formation and development in school.

Developing effective time management contributes to the improvement of good study habits of the student. Ideally, a student can eventually learn to study more effectively when he knows well how to manage his time. Yet, realistically, most students nowadays are more concerned of spending their time in extra-curricular activities than academic ones. This makes time management more difficult for them to organize. Even with their study schedules being plotted on their calendars and daily planners, students are still more motivated to do other ways than becoming productive in academic work.

Perhaps, one simple step that makes time management easier for students is for them to analyze first how they have spent their time in school. Being aware of the distractions, wasted time, as well as unbalanced lifestyle would benefit the students to make use of their time effectively in achieving success in their academics. Personal assessment of needs, interests, and abilities is necessary to have a full start on making an organized timetable of plans and schedules.

Explaining student time management in simple context, a student can take note of the three significant steps in managing a wise use of their time. First step is to create a to-do list of all their activities, whether curricular or non-curricular. This would help the student identify a long list of all his important but not urgent activities to be accomplished in a given period of time. Second, the student then shall determine how much time is spent in each activity in order for him to be able to know what his priorities are. Third, he must eliminate those unnecessary activities so that he can have an insight on how to minimize wasted time. When followed directly, these steps in time management would somehow guarantee a student to live an academic life in a more disciplined manner.

The concept of time management has existed for over a hundred years already, yet the term “time management” is perceived in the context of what a person is able to do with his time. Time cannot be managed perfectly because time, in the first place, is uncontrollable. Time management literally means self management. It is a process wherein the individual is taking advantage of his skills to manage others and his ability to plan, delegate, organize, direct, and control.

The general rule in time management is to “manage yourself and not your time”. Most of the times, the problem for having insufficient time to work on projects and to increase personal productivity in completing such projects lies not actually on the average time we have for a week, but on the way we carry ourselves in making use of our time. In order for a time management process to work, it is important to know what aspects of our personal management need to be improved.

Below are some general tips to consider in fully understanding how time management works in our system of personal capabilities:

Being known as one of the top 25 most influential Americans in the famous Time magazine, Dr. Stephen R. Covey has continually committed his career life to demonstrate how truly an individual can have a great control over his destiny.

His profound and straightforward guidance in teaching the importance of time management tools in achieving a successful life has made him an exceptionally popular author, professional speaker, consultant, and management expert. As an internationally-respected leader, his advice has indeed helped millions of people all over the world.
Two of his books that have greatly contributed to the achievement and success needs of individuals are those that conceptualized the important idea of managing one’s use of his time wisely and effectively.

In one of these books entitled “The Seven Habits of Highly Effective People,” Dr. Covey stresses the third important habit to be developed in order to become effective, which is time management. Such habit, once established, may help the person achieve success by aligning himself to his priorities and putting important things first. In his other book entitled “First Things First,” he further leads people to empower their minds by truly defining important things, accomplishing only worthwhile goals, and leading a rewarding and balanced life.

As he popularly quoted, “the key is not to prioritize what’s on your schedule, but to schedule your priorities.” He even sums up how we can best use our time. He once said, “I am personally persuaded that the best thinking in the area of time management can be captured in a single phrase: Organize and execute around priorities.”
Setting priorities then is the key element in time management.

To execute how to make priorities above all other priorities, Covey further asserts that there are three generations of time management that would help the individual realize his primary role in moving beyond what is important and urgent. Accordingly, the three generations of time management are tasks lists, personal organizers, and values clarification. This process would eventually lead the person to be able to identify personal activities which he values most in his routine. Identifying those long lists of tasks and activities would help the individual recognize what things need to be accomplished first.

Integrating these activities into one’s own personal organizer would also guide the person to meet specific deadlines. Lastly, clarifying the importance of scheduling activities according to what the person values may somehow lead the person to accomplish quality tasks effectively.
